Why this policy exists

Clio Care uses AI to help independent NDIS support workers with their paperwork. Our notes are records about people with disability, so how our AI behaves matters. This policy sets out the rules our AI follows, in line with Australia's AI Ethics Principles.

It applies to every AI feature in Clio: writing case notes and reports, suggesting improvements to a worker's writing, reading receipts, setting up participant profiles from uploaded plans, and the in-app help and website chat.

1. Wellbeing: AI that gives time back

Clio's AI exists to reduce unpaid admin, so workers spend more time supporting people and less time writing. Better records also help participants, whose plans and supports depend on accurate documentation. AI only runs when a worker asks for it, and we don't train our own AI models.

2. People stay in charge

The worker is always the author. The AI prepares drafts, and nothing becomes final until the worker reviews and signs it. Notes use respectful, person-first language, and Clio avoids language that reduces people to deficits or diagnoses.

3. Fairness

Clio's AI does not infer or record personal characteristics about participants. The participant profile asks for the participant's pronouns, and Clio always uses them. Only when none are recorded does Clio use pronouns suggested by the participant's name, and the worker can correct any note before signing.

4. Privacy and security

Participant records are stored in Australia, and Clio's servers run in Australia. When a task needs AI, the information for that task is sent securely to our AI provider in the United States, which deletes it within 30 days and does not use it to train AI models. We review what we send and remove information a task does not need.

5. Reliability and safety

Every note must meet the Clio Care Note Integrity Standard: it contains only what the worker provided, marks missing details for the worker to fill in instead of inventing them, and keeps the original AI draft alongside the signed version.

Every change to how Clio writes notes is tested against the standard before release, and an update that fails does not go live. Clio also flags possible reportable incidents so the worker can consider them.

6. Transparency

Every note Clio helps write says so. Workers are told what the AI does, and where their information goes, before they use it. This policy, our privacy policy and the Note Integrity Standard are public.

7. Contestability

Workers can edit, regenerate or discard anything the AI produces. Anyone who has a concern about a Clio-assisted note, or about how Clio's AI behaves, can raise it with the worker or email us at hello@cliocare.com.au. We aim to respond within five business days, and we fix and record problems we find.

8. Accountability

Clio's founder is accountable for how Clio's AI behaves. We keep a governance framework covering risk, testing, monitoring and how problems are handled, and we review this policy at least once a year and whenever our use of AI changes significantly.

What Clio's AI is never used for

Deciding anyone's eligibility, funding, supports, pricing or access to services; profiling participants or workers; inferring sensitive characteristics; or training AI models on your information.
